A growing, patient-focused dental practice in the greater Streamwood area is seeking an experienced and motivated Office Manager to lead day-to-day operations and drive overall practice success. Position Overview

The Office Manager serves as the primary business leader of the practice, responsible for optimizing operations, leading team performance, and driving sustainable revenue growth. This individual partners closely with clinical providers to ensure an efficient schedule, strong financial outcomes, and an outstanding patient experience.

Key Responsibilities

Schedule & Production Management

  • Own and optimize the daily provider schedule to maximize productivity
  • Proactively manage schedule gaps through patient outreach and recall efforts
  • Identify opportunities to expand patient access and services
  • Support case acceptance through clear, confident presentation of treatment plans

Financial Performance

  • Drive monthly revenue and profitability goals
  • Monitor labor costs and operating expenses to maintain strong margins
  • Analyze reports to track performance trends and identify improvement areas
  • Partner with leadership to address performance gaps and implement solutions

Revenue Cycle Management

  • Oversee front-end processes to achieve strong point-of-service collections
  • Ensure accurate insurance verification, benefit breakdowns, and cost estimates
  • Manage billing, accounts receivable, and cash reconciliation
  • Identify and reduce revenue leakage through process improvements

Team Leadership & Development

  • Recruit, hire, and onboard administrative team members
  • Coach, develop, and hold team members accountable to performance standards
  • Lead daily team huddles to align priorities and drive efficiency
  • Build a strong internal talent pipeline

Patient Experience

  • Deliver a high-quality, patient-first experience
  • Address patient concerns professionally and promptly
  • Support marketing initiatives to increase new patient growth
  • Foster positive relationships between patients, staff, and providers

Compliance & Operations

  • Maintain compliance with OSHA, HIPAA, CDC, and state regulations
  • Ensure audit readiness and adherence to safety standards
  • Oversee inventory, ordering, and vendor relationships
  • Monitor equipment and operational needs to ensure smooth practice flow

Qualifications

Required

  • 2+ years of dental administrative experience
  • 1+ year of team leadership or management experience
  • Proficiency with dental software (Dentrix, Denticon, or similar)
  • Associate degree or equivalent experience
  • Proven ability to drive operational and financial results

Preferred

  • Prior experience as a Dental Office Manager or Practice Administrator
  • Clinical or front office dental background (DA, RDH, or receptionist)
  • Experience in a multi-location or DSO environment
  • Familiarity with patient communication tools or conversion platforms
